Time Clock

So I am a small business. I have run part time thus far. Right now I email my guys hours to the accountant at the end of the day. I am changing the way I do things this year. And one of the things that I need to change is adding a time clock. I was wondering what yall use. Is there one brand/type that is better than another? Is there an app that my guys could download and use to track hours? Or does everyone use the clock and punch card in the shop? Thanks

We use custom time cards we made for everyone to fill out. We then scan and email them to our accountants

It probably costs money, Idk, but my boss uses an app called totalHRworks. The app handles everything, it's our time card on our phones (which includes a GPS tag of where we clock in / out) then it allows a few button presses on his end and our payroll automatically processes (direct deposit).

Its got other features too but we dont use them at our small shop- scheduling and requesting time off.

Once you login you're at this screen with your options:

And this is where you choose what to clock into, that way it's tracked correctly for billable hours to the customer

Managers have another option on the main page (first pic) to add additional categories when new customers come up.

We are a small operation and personally I use HoursTracker on my phone. It's free but that limits the number of entries which isn't really a big deal since I can still cover two pay periods. Simple to use on my phone, export the pay period to email on my phone and send to the office.

It has a lot of functionality beyond that which we can grow into.

Personally, I'd stick with an app v. punch cards and time clock in the shop.

We just use a google spread sheet for everyone's time, and I enter my crew's hours and what jobs we were doing. It's shared on the drive so if someone has odd hours, they can take care of it themselves.

In my day job (totally different business, but hourly services based) we use Toggl. It has a mobile app, or can be used from the website, and you can set up an account with multiple users and see summaries of how users' time is divided up. Some features are only available with their subscription model, but we are a small team and the free version works just fine.

One important question though is how much do you trust your people? Hopefully they're trustworthy, but one important difference between an actual time clock or HR app and some of the free apps is how easy it is to manually edit entries. In toggl, manual data entry is just as easy as clicking in and out, which is great if you have trustworthy people who sometimes forget to clock in or out. But, if you want to make sure your people can't falsify records, you'll want to look into something with a better audit trail.

Yeah. I have wondered about the honesty factor. I have guys that I trust but it is still somethjing to be aware of. Good call. Thanks everyone for your feedback.
