I have 7 trucks 3 chippers and 2 grinders so making sure things are properly maintained can get tricky. My programs probably not the best but it's working. Each piece of Euipment,truck has its own book, and we change oil and filters every 250hours and trucks every 3,000miles . We put stickers on the windshields when the next service is do and check hours on the equipment every Monday morning. Monday morning is are check all, we check oil and all fluids on everything and all saws get blown out and quick go over. If a machine is do for service it gets put on the white board and is expected to be completed by the end of the weak, a crew member will perform task and log it in the book with date and hours and what was done along with his signature. If a chipper needs knives flipped or change stump teeth it gets loged in the book along with date and signature. This holds person accountable if a problem arises do to maintaence performed. I have one person responsible for greasing everything, chippers every morning and stumpers by hours. He just looks in the book at the hours recorded from last service. We log everything in book even repairs made by are local macanich. All the guys know how to perform the basic maintaence oil grease filter change, this way they get done early,they can finish day off with some service work or in morning waiting for rain to stop, always something to do and I can look in the book and see who's doing what and hold them responsible if not right. The guys seem to take better care of equipment knowing there servicing it and keeps them in touch with the ins and outs of the machines we use and need to run everyday. Air filters on trucks ,once a year and as for those every 500 hours maintaence I write that in book so as when u come to say a 1,000 hour service it gets done. Simple and all u need is a good hard back note book,so don't have to fuss with any computer. Plus when u go to sell u can say here's a book of what's been done since u had the machine.
